1. Old-School Scheduling

Sometimes, the simplest methods are the most effective. Try allocating 30-minute time blocks to the tasks that must get done. If something needs more time, give it an hour, but don’t go beyond that—this helps keep distractions at bay.

  • Stick to no more than six tasks a day and plan them in advance, either the night before or map out your week on Friday.

  • If you get interrupted, make a note of it so you can adjust your future schedules.

  • Bonus tip: Put your phone on Do Not Disturb while you’re working. If you need to check your phone, schedule a quick 5-minute break after each task.

2. Use RACI Sheets (Responsibility Assignment Matrix)

If you’re working with a team, RACI sheets are a lifesaver. RACI stands for Responsibility Assignment Matrix—it’s a simple way to clarify who’s responsible for what.

  • You can find templates online. Use them to delegate tasks according to strengths, and review them every morning to prioritise and keep things moving.

  • Add deadlines and a notes section for any roadblocks, so nothing slips through the cracks.

3. Project Management Tools

There are so many tools out there—Notion, Trello, Asana, ClickUp, even Google Sheets or Docs.

  • The key is to experiment and find what fits you and your business best.

  • Create daily and weekly to-do lists, and break down your monthly goals into smaller, manageable tasks.

  • Stick to your lists and watch your productivity soar.

4. Automate Where You Can

Look for ways to automate repeatable processes using AI.

  • Tools like Bardeen, N8N, or Super Whisper can save you loads of time.

  • If you’re a bit more technical, you can even build your own AI agents—Chipp has some great templates to get you started.

  • There are hundreds of tools out there, so don’t be afraid to try a few and see what works for you.

5. Delegate Effectively

If you can delegate, do it. Before handing off tasks, establish clear standards and document what is important to you.

  • Address possible challenges and solutions upfront.

  • Hold regular review sessions and keep your team accountable, while also ensuring they feel supported.

  • If mistakes happen, take note, communicate openly, and revisit them in your next review to keep everyone on track.

Conclusion

By putting these strategies into practice, you’ll find it much easier to manage your time, reduce stress, and keep your business moving forward. Remember, it’s all about finding what works for you and being consistent.

Each small improvement adds up, and before you know it, you’ll be getting more done with less overwhelm. Embrace the opportunity to learn, experiment, and share your own insights with others.
